Administrative Assistant

Suicide Prevention Office, Suicide Prevention Center New York

Salary Grade: 13 ($42,957)


The New York State Suicide Prevention Office (SPO) in conjunction with The Research Foundation for Mental Hygiene, Inc. (RFMH) is seeking a full-time administrative assistant in the Albany office.


Candidates must have strong written and verbal communication skills; the ability work both independently and as part of a team; be detail oriented and exacting in producing work; proficient in office management systems such as Microsoft Office Suite, Google Docs, Doodle Polling, and virtual meeting platforms (including WebEx); possess the ability to manipulate and interpret data, and run reports; be comfortable in a fast-paced and quickly changing environment; have a proactive approach to problem-solving and decision-making; have experience exercising discretion and confidentiality with sensitive information; and possess excellent time management and prioritization skills while organizing and managing multiple conflicting schedules, tasks, and deadlines.


Duties & Responsibilities Include, but are not Limited to:

  • Administrative support including answering phone inquiries, scheduling meetings and events, opening and sorting mail, scanning documents, and supporting staff (responding to inquiries, hardware/software, etc.)
  • Providing logistical support for an Advisory Council including drafting correspondence e-mails, scheduling full Council and workgroup meetings, maintaining detailed SPO/SPCNY and other meeting minutes, as well as an up-to-date listing of membership, event coordination, etc.
  • Making travel arrangements and processing travel and expense reports
  • Maintaining all training software, materials and supplies, including inventory of all training requests and supplies and mailing of training marketing/media products
  • Managing and processing all training material requests, including tracking orders, inventory management, and online scheduling; and generating training reports by pulling data from various systems
  • Preparing and regularly updating a master list of network trainers, addresses, and e-mails
  • Managing and processing all trainings including online registration, set-up, running reports, and shipping/e-mailing of training materials to registrants
  • Preparing invoices for processing and maintaining a system for office electronic filing
  • Managing the office's UPS account, including preparing and submission of invoices for payment
  • Planning and organizing events

Minimum Qualifications:

  • Bachelor's degree in business administration or a related field
  • 3-5 years as an assistant to mid/senior level administration, including experience as a virtual assistant to multiple staff sites

Preferred Qualifications:

  • Licensed notary
