The Research Foundation for Mental Hygiene, Inc. is seeking one (1) qualified candidate to fill the 80% position (30 hours a week) of Administrative Assistant.



The Research Foundation for Mental Hygiene on behalf of the New York State (NYS) Office of Mental Health and in partnership with multiple state, local, and county stakeholders, will build on the successes and lessons learned from the initial System of Care (SOC) Grant received in 2016. This second initiative (anticipated 2020-2024) will continue to change the service delivery system and outcomes for Children with Serious Emotional Disturbance (SED) and their families throughout NYS and in specific counties in need of strengthening their coordinated system of care.


We are looking for a team member who has a strong customer service orientation, excellent organizational skills, attention to detail and creative problem-solving skills. The team member must have the ability to assess, analyze information and take appropriate action steps to support project goals. This candidate should have demonstrated clerical/administrative experience supporting a professional team. The individual's ability to work independently and as part of a team is a necessity for this project, along with strong communication skills (written and verbal). Job Duties and Responsibilities:

Under the direct supervision of the Project Director, the Administrative Assistant's duties may include but are not limited to: assist in report, documentation, and memorandum preparation and typing, as well as drafting routine correspondence; assisting with a variety of grants management tasks and required funder reporting; operate a virtual training platform and provide technical support during virtual workshops and training sessions; setting up filing systems and maintaining records related to the project; scheduling and arranging meetings; participate in project meetings; procurement of supplies for the team; assist in content for the project listserv; making travel arrangements; responding to telephone calls by providing information and/or referring callers to appropriate staff; and complete special projects as required under the direction of the supervisor. This position will support a staff of 8 professionals, and occasionally fill in for the Division Secretary.


Minimum Requirements:


  • A four-year high school diploma or its educational equivalent approved by a State's Department of Education or a recognized accrediting organization, and four (4) years of relevant experience working in a professional office environment; OR
  • A Bachelor's degree from an accredited college or university, accredited by regional, national, professional or specialized agencies recognized as accrediting bodies by the U. S. Secretary of Education and by the Council of Higher Education Accreditation (CHEA), and two (2) years relevant experience working in a professional office environment.
  • Proficient with Microsoft Office suite of products including Windows 10, Access, Excel, Word and Power Point.
  • Must have experience working in a stressful, often time-constrained atmosphere.
  • Fluency in the English language
  • Previous grant experience a plus.


Work Location: 44 Holland Avenue, Albany, NY 12229. At this time, a new telecommuting policy is offered, which allows for flexibility in balancing work-life demands.
